- Booking & Payment
All bookings are subject to availability. An advance payment is mandatory to confirm any trek or trip and is strictly non-refundable. The remaining balance must be paid before or at the start of the trip as instructed by the company. Prices may vary depending on season, availability, group size, or last-minute bookings. WildHike Adventures reserves the right to cancel a booking if payment is not received within the stipulated time.

A booking is considered confirmed only after the participant receives a written confirmation (email/message) from WildHike Adventures along with receipt of the advance payment. Verbal commitments or social media messages alone do not constitute a confirmed booking.
- Eligibility & Fitness
Participants must be medically and physically fit for the chosen trek or trip. Any medical condition (including but not limited to asthma, heart conditions, injuries, allergies, diabetes, epilepsy, or psychological conditions) must be disclosed in advance in writing. WildHike Adventures reserves the right to deny participation if a participant is deemed unfit or poses a safety risk to themselves or others.
- Age Requirements & Minor Consent
Participants below the age of 18 years are considered minors. A minor may only participate with written consent of a parent or legal guardian, who must sign the declaration form before the trip. The parent or guardian assumes full legal responsibility for the minor throughout the trip. WildHike Adventures shall not be liable for any injury, illness, accident, or death of a minor participant.
- ID Proof & Verification
A valid government-issued ID (Aadhaar Card / Passport / Driving License / Voter ID) is mandatory for all participants. ID proof is required for permits, accommodation, and safety compliance. Failure to provide valid ID may result in cancellation of participation without any refund. Foreign nationals must carry a valid passport and any required permits.
- Medical Disclosure & Health Declaration
All participants must submit a health declaration form before the trip. Failure to disclose any medical condition that later results in complications during the trek shall be the sole responsibility of the participant. WildHike Adventures shall bear no liability for health complications arising from undisclosed medical conditions.
- Travel Insurance
It is strongly recommended and advised that all participants obtain comprehensive travel and medical insurance before joining any trek or trip. Insurance should ideally cover medical emergencies, high-altitude rescue and evacuation, trip cancellation, loss or theft of belongings, and accidental death or permanent disability. WildHike Adventures shall not be responsible for any costs arising from emergencies if the participant has not obtained adequate insurance. Participation without travel insurance is entirely at the participant’s own risk.
- Itinerary & Schedule Changes
Trek and trip itineraries are subject to change due to weather conditions, road closures, government restrictions, safety concerns, permit issues, or unforeseen circumstances. Such changes are made in the interest of participant safety and do not qualify for refunds or compensation. The decision of WildHike Adventures and its trek leaders will be final and binding in all such matters.
- Cancellation by Participant
In the event of cancellation by the participant, the following policy applies:
- Advance payment is strictly non-refundable under all circumstances.
- No refunds for no-shows, early exit, or voluntary withdrawal from the trip.
- Cancellations made 15 or more days before departure may be eligible for partial credit at company discretion.
- Cancellations made within 7 days of departure will result in forfeiture of all payments made.
- Cancellation by WildHike Adventures
WildHike Adventures reserves the right to cancel any trek or trip due to insufficient group size, adverse weather, natural disasters, government orders, or safety concerns. In such cases, participants will be offered rescheduling or credit for a future trip. No cash refund will be issued unless specifically stated by the company in writing.
- Rescheduling Policy
Participants may request rescheduling of their booking subject to availability and at least 10 days prior notice. Rescheduling is permitted once per booking. Any subsequent rescheduling requests will be treated as a fresh booking and will require a new advance payment.
- Safety, Risk & Liability
WildHike Adventures provides trained guides and basic safety support; however, trekking and travel in mountain and wilderness regions involve serious inherent risks. Participants voluntarily participate at their own risk and responsibility. WildHike Adventures shall NOT be liable for personal injury or illness, loss or damage of personal belongings, delays due to natural or external factors, any accident, permanent disability, or death occurring during the trek or trip, or any psychological trauma arising from the experience.
- Waiver & Release of Claims
By booking or participating in any trek or trip with WildHike Adventures, the participant voluntarily and irrevocably waives any and all claims, rights, and causes of action against WildHike Adventures, its owners, directors, guides, employees, and partners. This waiver is binding on the participant, their heirs, legal representatives, and assigns. The participant confirms this waiver has been read, understood, and agreed to voluntarily without any pressure or coercion.
- Indemnity Clause
The participant agrees to indemnify, defend, and hold harmless WildHike Adventures, its owners, guides, employees, contractors, and partners from any and all claims, liabilities, damages, costs, and legal actions arising out of or in connection with participation in the trek or trip, including claims arising from the participant’s own negligence or misconduct.
- Weather & Altitude Risks
Trekking in high-altitude regions involves serious health risks. Participants must be aware of and accept risks including Acute Mountain Sickness (AMS), High Altitude Pulmonary Edema (HAPE), High Altitude Cerebral Edema (HACE), frostbite, hypothermia, snowblindness, and other altitude-related conditions. WildHike Adventures shall not be liable for any illness, injury, permanent disability, or death caused by altitude sickness or extreme weather. The trek leader’s decision regarding ascent, descent, or evacuation shall be final and binding.
- Medical & Emergency Response
In case of any medical emergency during the trek, WildHike Adventures will make reasonable efforts to arrange evacuation and medical assistance. However, all costs related to rescue operations, evacuation (including helicopter evacuation), hospitalization, and medical treatment will be borne entirely by the participant. The company will not be held liable for any medical complications, injury, or death during the trip.
- Behaviour & Conduct
Participants must conduct themselves respectfully toward local communities, fellow travelers, guides, porters, and staff at all times. Any behaviour that is deemed offensive, abusive, disruptive, or illegal may result in immediate removal from the trip without any refund. WildHike Adventures reserves the right to make the final decision in all conduct-related matters.
- Alcohol & Substance Policy
The use of alcohol, recreational drugs, or any controlled or illegal substances is strictly prohibited during all treks and trips. Consumption of alcohol at high altitude significantly increases health risks. Any participant found under the influence may be immediately removed from the trip without refund. Prescription medications must be declared in advance and carried by the participant in sufficient quantity.
- Third-Party Services & Partner Operators
WildHike Adventures sometimes operates as a facilitator or booking agent for third-party tour operators, travel agencies, transport providers, hotels, and other service partners. In such cases, WildHike Adventures acts only as an intermediary and is NOT the principal service provider. WildHike Adventures shall NOT be held liable for any loss, injury, accident, damage, delay, misconduct, negligence, or death caused by actions or omissions of any third-party operator or their staff. All claims must be directed solely to the concerned third-party operator.
- Transport & Vehicle Safety
WildHike Adventures arranges transport to and from trek starting points as part of the trip package where applicable. The company is not liable for any delays, breakdowns, accidents, or injuries occurring during road transport. Participants must follow all safety instructions provided by the driver or guide during transit.
- Accommodation
WildHike Adventures arranges accommodation (guesthouses, campsites, homestays, or hotels) as per the trip itinerary. The company does not guarantee specific room types, amenities, or standards beyond what is described in the trip details. WildHike Adventures is not liable for any dissatisfaction with accommodation quality or for any loss or theft from accommodation premises.
- Food & Dietary Requirements
WildHike Adventures makes reasonable efforts to provide meals as described in the trip itinerary. Participants with specific dietary requirements (vegetarian, vegan, gluten-free, allergies, etc.) must inform the company at the time of booking. The company will endeavour to accommodate dietary needs but cannot guarantee availability of specific food options in remote trek locations.
- Equipment & Gear Responsibility
Where WildHike Adventures provides tents, sleeping bags, harnesses, ropes, or other trekking equipment, participants must use all provided equipment responsibly and as instructed by the guide. Any damage, loss, or misuse of company-provided equipment will be charged to the participant at replacement or repair cost. Participants are responsible for carrying and maintaining their own personal gear throughout the trek.
- Personal Belongings
Participants are solely responsible for their personal belongings including cash, electronics, documents, and valuables. WildHike Adventures is not responsible for any loss, theft, or damage of personal items during the trek or trip under any circumstances.
- Porter & Support Staff
Where porters or support staff are engaged, participants must treat them with dignity and respect. Participants must not overload porters beyond the stipulated weight limit. Any mistreatment of support staff may result in removal from the trip. WildHike Adventures is not liable for any injury or loss of belongings caused by porter negligence.
- Environmental Responsibility
Participants must strictly follow Leave No Trace principles during all treks. Littering, destruction of flora, disturbing wildlife, or damaging natural habitats is strictly prohibited. Participants found violating environmental rules may be removed from the trip and may face penalties as per applicable laws.
- Permit & Regulatory Compliance
Certain trek routes require government-issued permits. WildHike Adventures will assist in obtaining required permits where applicable. However, the company is not liable if permits are denied or revoked by authorities due to reasons beyond its control. Participants must comply with all local, state, and national regulations applicable to the trek area.
- Photography & Drone Usage
Participants wishing to use drones must obtain all required government permissions before the trip. WildHike Adventures is not responsible for obtaining drone permissions on behalf of participants. Photography of local communities, military installations, or restricted zones may be prohibited and participants must comply with all applicable laws regarding photography.
- Use of Participant Photos & Media
WildHike Adventures may capture photos and videos during trips for use in marketing, promotional, and social media content. By joining a trip, participants consent to the use of such media unless they submit a written objection before the trip commences.
- Data Privacy & Personal Information
WildHike Adventures collects personal information including name, contact details, ID proof, and medical information solely for trip operations, safety, and regulatory compliance. Participants consent to the collection and use of their data for these purposes. Data will not be sold to unauthorized third parties. Data may be shared with government authorities or emergency services when required. Participants may request access to or deletion of their data by contacting the company.
- Force Majeure
WildHike Adventures shall not be held responsible for delays, cancellations, or changes caused by events beyond its control, including natural disasters, floods, landslides, earthquakes, avalanches, weather conditions, government actions, roadblocks, strikes, pandemics, or political disturbances. No refunds will be issued in force majeure situations; rescheduling or credit may be offered at company discretion.
- Route & Difficulty Grading
Trek difficulty grades provided by WildHike Adventures are indicative and based on general fitness levels. Individual experience of difficulty may vary. WildHike Adventures is not liable if a participant finds a trek more challenging than described. Participants are encouraged to research trek difficulty thoroughly before booking.
- Group Size & Dynamics
WildHike Adventures reserves the right to merge small groups or adjust group compositions for operational efficiency. Participants must cooperate with group decisions and trek leader instructions at all times. Participants who consistently disrupt group harmony may be removed from the trip without refund.
- Trek Leader Authority
The trek leader appointed by WildHike Adventures has full authority over all decisions during the trek, including route changes, rest stops, pace adjustments, and emergency responses. The trek leader’s decision shall be final and binding at all times. Participants must follow all instructions of the trek leader without argument, especially in emergency situations.
- Fitness Test & On-Trip Assessment
WildHike Adventures reserves the right to conduct a fitness assessment at the beginning of or during the trek. If a participant is found to be physically unfit to continue safely, the trek leader may require them to descend or return to base. No refund will be provided in such circumstances.
- Acclimatization
Participants are responsible for following acclimatization protocols as advised by the trek leader. Failure to follow acclimatization advice that results in altitude sickness or other health complications shall be the sole responsibility of the participant. WildHike Adventures shall not be liable for health issues arising from a participant’s failure to acclimatize properly.
- Sleep & Rest
Participants must get adequate sleep and rest during the trek as advised by the trek leader. Failure to rest properly that results in fatigue-related accidents or health issues shall be the participant’s own responsibility. WildHike Adventures shall not be liable for consequences arising from a participant’s failure to follow rest protocols.
- Wildlife & Natural Hazards
Trek routes may pass through areas with wildlife, including dangerous animals. Participants must follow all safety guidelines provided by the trek leader regarding wildlife encounters. WildHike Adventures shall not be liable for any injury or death caused by wildlife encounters, snake bites, insect stings, or other natural hazards during the trek.
- River Crossings & Technical Sections
Certain trek routes may involve river crossings, steep ascents, rappelling, or other technical sections. Participants must follow all instructions of the trek leader and guides during such sections. WildHike Adventures shall not be liable for any injury or death occurring during river crossings or technical terrain sections.
- Night Trekking & Camping
Where night trekking or camping is part of the itinerary, participants must follow all safety protocols including use of headlamps, staying within designated areas, and following campfire rules. WildHike Adventures is not liable for any injury, accident, or loss occurring during night trekking or camping activities.
- Smoking Policy
Smoking is strictly prohibited inside tents, guesthouses, vehicles, and near fuel or cooking areas during all WildHike Adventures trips. Participants who smoke must do so only in designated areas and must dispose of cigarette butts responsibly. Violation of this policy may result in removal from the trip.
- Lost & Found
WildHike Adventures will make reasonable efforts to assist in recovering lost items during a trek. However, the company assumes no liability for any items lost during the trip. Found items will be held for 30 days after the trip, after which they may be donated or disposed of at the company’s discretion.
- Communication & Mobile Networks
Trek routes in remote mountain areas may have limited or no mobile network coverage. WildHike Adventures is not liable for any loss, inconvenience, or emergency arising from lack of communication facilities in remote areas. Participants must inform their emergency contacts about network limitations before the trip.
- Emergency Contact Information
All participants must provide valid emergency contact details (name, relationship, phone number) at the time of booking. WildHike Adventures will contact the designated emergency contact in case of any serious medical emergency or incident during the trip. The company is not liable for consequences arising from incorrect or unavailable emergency contact information.
- Complaints & Grievance Policy
Complaints must be submitted in writing to the company’s official email address within 7 days of trip completion. WildHike Adventures will acknowledge the complaint within 3 working days and aim to resolve it within 15 working days. Complaints raised after 7 days of trip completion may not be considered. For urgent on-trip issues, participants must immediately inform the trek leader or company representative.

- Intellectual Property
All content on WildHike Adventures’ website, social media, brochures, and promotional materials including text, images, videos, and logos is the intellectual property of WildHike Adventures. Reproduction, distribution, or commercial use of this content without prior written permission is strictly prohibited.
- Fraudulent Bookings & Misrepresentation
Any participant found to have provided false information, forged documents, or misrepresented their health or fitness status will be immediately removed from the trip without refund and may be reported to the appropriate authorities. WildHike Adventures reserves the right to take legal action against fraudulent bookings.
- Modification of Terms & Conditions
WildHike Adventures reserves the right to update, modify, or amend these Terms & Conditions at any time without prior notice. Updated terms will be effective immediately upon publication on the company’s website. It is the participant’s responsibility to review the latest Terms & Conditions before booking.
- Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of India. All disputes arising out of or in connection with these Terms & Conditions or any trip organized by WildHike Adventures shall be subject to the exclusive jurisdiction of the courts of Himachal Pradesh, India only.
- Entire Agreement & Declaration
These Terms & Conditions constitute the entire agreement between the participant and WildHike Adventures with respect to participation in any trek or trip. By booking or participating, the participant confirms they have read, understood, and agreed to all 50 clauses of this document.
DECLARATION (To be confirmed at time of booking):
“I have read, understood, and agreed to all Terms & Conditions of WildHike Adventures. I voluntarily accept all risks associated with trekking and adventure travel, including the risk of serious injury, permanent disability, or death. I release WildHike Adventures and all its associates from any and all liability. I confirm that all information provided by me is true and accurate.”
